Where we refer to written confirmations below, this includes correspondence by e-mail or social media also.
1) Booking Your Date with Bicester Buffets
a) All event bookings must be confirmed in writing by the Client (by e-mail or social media). A non-refundable deposit is required to secure Bicester Buffets for the date of your event.
b) All bookings are subject to minimum guest numbers, these will be confirmed in writing by Bicester Buffets to the Clients.
2) Deposit
a) Bicester Buffets will inform the Client of the 20% deposit amount, which will be payable once your booking confirmation is received.
b) This deposit will be deducted from the total event costs which will be issued to the Client no later than 10 working days prior to the event (please see our Payment terms below).
c) Payment methods including bank transfer or cash.
3) Booking Confirmation
a) Once the Clients deposit has been received a written receipt will be issued by Bicester Buffets together with a formal confirmation which will include your draft menu, event summary and estimated costs based on the number of guests and selections made by the Client at this time.
4) Variations to the Price
a) All bookings are subject to minimum guest numbers which will be confirmed by Bicester Buffets at the time of booking.
b) Where children are attending – if over 7 years of age they are payable at the same rate as adults, if under 7 years of ages they are chargeable at half the adult price (subject to minimum numbers mentioned above). Any variation to menu selections for children must be discussed with Bicester Buffets as soon as possible to our menus to be revised accordingly.
5) Payment of Total Event Costs Prior to Event
a) Payment in full is required for all catering services to be provided by Bicester Buffets prior to the event. Final guest numbers must be confirmed to Bicester Buffets no later than 15 working days prior to the event.
b) The information provided at this point will be used to produce your total event cost invoice, arrange staff and co-ordinate with your venue. Once our invoice is received by the Client payment must be received no later than 10 working days before the event.
c) Should Bicester Buffets be advised of any changes to event requirements (including the reduction of guest numbers) at a date less than 15 working days prior to the event, Bicester Buffets reserve the right to accept these changes and reduce our invoice value, however should increases occur due to additions once full payment have been received Bicester Buffets will raise an additional invoice following the event for these guests or extras food needed, payment will then be due for immediate settlement by the Client.
6) Cancellation Charges
a) In the unfortunate event of a booking having to be cancelled confirmed in writing will be needed by the Client. Your deposit will be retained and the following charges will be incurred
i) Cancellation received within 60 working days of event – 50% of total event cost
ii) Cancellation received within 15 working days of event – 100% of the total event cost
b) The total event cost will be based on the numbers of guests scheduled, at the agreed price per head + VAT.
c) Any additional costs incurred by Bicester Buffets in preparation of the event up until the time of cancellation will be charged to the Client. This is to cover any losses caused to Bicester Buffets for administration costs, travel, supplies etc. and will be discussed fully in event of cancellation.
7) Dietary Requirements and Allergies
a) Bicester Buffets will endeavour to provide suitable adaptions to the Clients menu for any guests with special dietary requirements or allergies. We cannot however take responsibility for any guests unless advised in advance (no less than 10 working days prior to the event).
8) Client’s use of Bicester Buffets’s Property
a) The Client agrees to pay for any loss or damage to any equipment, crockery, cutlery or glassware supplied by Bicester Buffets for the event, including any issues caused by the Client guests.
9) Liability of Bicester Buffets
a) Bicester Buffets accept no liability under any claim whatsoever arising (be it by negligence or otherwise) for any loss over the figure of the existing Bicester Buffets Public Liability Limit of Indemnity. Note that this figure which may change from time to time, is available upon request together with a copy of our Certificate.
10) Force Majeure
a) Bicester Buffets shall incur no liability to the Client if performance of the contract is prevented or hindered by any case whatsoever beyond Bicester Buffets’s control and in particular but without prejudice to the generality of the foregoing, by act of fire, flood, subsidence, sabotage, accident, strike, or lock out and shall not be liable for any loss or damage resulting there from suffered by the Client.
Bicester Buffets reserve the right to change our Terms and Conditions when necessary due to the continual evolving nature of our business. It is your responsibility to ensure that you are up to date with our Terms and Conditions which are available on request or printable via our website at www.Bicester-buffets.co.uk.

Terms and Conditions - Teaset hire
- We require a 50% deposit as confirmation of your order placed, this secures your date for my services and hiring china. This deposit is non refundable if you cancel.
- The balance is payable no later than 14 days prior to the date of hire. We accept cash or bank transfer only.
- A separate refundable damage deposit of £25 to £100 (depending on party size) is payable when we deliver the china and is returned to you once the china is returned and checked over.
- Cancellation will be 100% of hire costs if cancelled within this 14 day period or 50% of hire costs if cancelled within a 30 day period.
- Due to the eclectic nature of the collection, we cannot guarantee larger tea sets will match, it looks more beautiful when you mix and match anyway! We do have many matching sets for small parties, please ask if this is important.
- Set-up and event styling costs will depend on the size of the party/amount of crockery hired. Please contact us to discuss, we can always work something out within your budget!
- We regret that the order may not be reduced after final payment.
- Our hire period covers up to 3 days. Prices quoted are for this period only, we can be flexible and will aim to work with you.
- Delivery and collection are included ONLY if Bicester Buffets are catering for your event. All other order must be collected and returned by the customer.
- During the hire period breakages or loss of any item is the full responsibility of the hirer until received back and checked by Bicester Buffets, hirers will be notified within 48 hours of recorded loss or damage and the charge that applies.
- Items will be in good vintage condition with no chips or cracks, due to the nature and age of the items, patterns and gilt can be expected to show signs of wear.
- Requests for specific items and colour themes will be met where possible.
- Returned china must be repacked safely in their original packaging and if washing up is required we ask that the items are carefully wiped/scraped and that sugar bowls and teapots/ coffee pots are thoroughly emptied.
- If washing the crockery yourselves you agree not to use a dish washer.
- Prices quoted at time of booking and upon receipt of the deposit will be honoured for the date of the event.
- Bicester Buffets takes no responsibility in the event of any injury to any party through breakage of any equipment or any other accident during the hire period.
- Breakages don't happen very often thankfully but if they do, don't worry!
- Please report any breakages ASAP and return any broken pieces safely wrapped.
- Breakages and/or loss will be charged for.
